MANAGER & PARENT INFORMATION (9-11, 12-13, 14-17YRS)
WORKING WITH CHILDREN CHECK (WWCC)
A coach or manager who does not have a child involved in the Association is required to apply for a Working With Children Check. Their child does not have to be in the team they are coaching and checks will not be issued if this is the case. The fee is approximately $10.00, payable at the post office and refundable by ESA if wished. Forms are available at Australia Post.
BEFORE SEASON
- Attend coaches and Managers meeting for team kit (balls, strips, cones, bibs).
- Team lists which will contain players’ contact details will be issued separately so that the copy you get is comprehensive. Equipment and shirts must be signed out.
- IMPORTANT – PLAYERS’ CONTACT NUMBERS ARE NOT TO BE DIVULGED TO OTHER PARENTS/PLAYERS OR THE COACH WITHOUT PRIOR PERMISSION FROM THE PARENT/GUARDIAN. MEDICAL INFORMATION IS ALSO HIGHLY CONFIDENTIAL BUT MAY BE SHARED WITH THE COACH ONLY. IF USING EMAIL, USE THE BCC FUNCTION KEY.
- After discussion with the coach of the team, contact players/parents to advise training date, day, time and date of season commencement. Most teams are training Wednesday afternoon so if a coach is away his/her players can still be trained.
- Some players may have special medical needs please check information given to you. These players have special requirements and you will need to discuss what allowances and training is suitable for these players between yourself, the coach and the parents. Once again, this information may be sensitive.
- Make up a roster for shirt washing, lines and fruit (or choice of half time refreshment) including all families in the team and distribute at first game. Some parents have chosen coach, sponsor, grounds marker and may be excluded from other tasks however check with them, because they may be happy to be included as well. This will be written on the team sheet. Probably best if you bring fruit for the first game but please distribute tasks and make it clear that you require everyone to contribute who doesn’t have another task. You can also use the attached roster for helpers for flag duties and putting up and packing away goals.

- Advise parents/players to let you know if they will be away, so you can organise a substitute if required – preferably early warning. Emphasise the importance of this where there is more than one family member in a team. Have contact list available for game day and if in attendance at training session.
GAME DAY
- If you are the first or last game, your team will need to set up or pack up nets – take one end per team. Please ask other parents to help do this in plenty of time. Do not do it all yourself. If you are having difficulty getting help, please speak to a committee member and we will speak with team parents.
- Collect your team folder from the soccer shed (red bucket). The team listed 1st is the home team. The ‘Home’ Manager folder -‘Home’= (first team on fixture) will include the Referees card. Names & numbers are then checked/adjusted by both managers field-side on the A4 game sheet and the Referees card. Home Manager takes now correct Referees card out to Referee when they appear before game. Cross out absent players at the last minute so that game can start on time.
- The ‘home’ team scores using the game sheet – usually the manager does this but it can be shared between parents.
- Completed A4 game sheets with Team Clipboards (but not ref card-see below) are returned by each manager at end of game to the soccer shed (red bucket).
- Referee Cards: Scores must be agreed between both Coaches and Ref then signed with clear name by ALL 3 before leaving game and returned by the Referee to Referee Box at Help desk along with ref bag.
- Scores /Best & Fairest 3,2,1,points must be recorded by referee only on Ref card (private). After week 3.
- Assist coach in any way possible. Ring late players if needed or arrange substitute player from division below. (You can NOT get a player of the same division to fill in.) You can also NOT use TDS players from the division below as substitute players. These players already have 2 games on game day. Should you need names of interested players wanting to fill in please contact the club Registrar.
- Choose one player to receive the ‘Coaches Award’. This can be awarded for effort, enthusiasm, improvement, great play, good sportsmanship or whatever reason you can think of. Please ensure every player receives this award at least once. It is a good idea to keep a record. Keep a record of who receives these so it can be shared around equally. Write on bottom of team sheet and place back in folder.
DURING THE SEASON
- Team photos – organise for a team photo around week 6 when everyone has had time to get socks, etc. Please organise your team to be at the ground earlier than usual, in full correct uniform. We cannot take late orders as only one print run is done. Digital photos and a hard copy will be printed and given out.
- Keep parents and players informed by announcements and/or phone or emails of game time changes, team photos, dates and monies etc.
END OF SEASON
- You may like to collect money from players (parents) to buy a thank you gift for the helpers on behalf of the team. You could allocate this to another parent or you can choose not to do this at all. It is entirely up to you.
- On the last day, there will be trophy presentations and you will need to assist in presenting the players on your team with their trophies.
- At the trophy presentation you may like to assist the coach present trophies to the players. Your players may like to wear their team shirts for presentations but please remember to get them to bring an extra shirt so that you can collect them back as soon as presentations are complete.
- Team shirts need to be handed in at the club after your last game. Make sure you sign them back in so that the committee do not give you an unnecessary phone call.

Please feel free to ask for help or clarification at any time from a Committee Member or email and it will be addressed by the appropriate people as soon as is possible.
It is requested that players and parents show respect for the facilities we use by keeping the area tidy and looking after the equipment. Please also help if you see a problem – don’t just complain – it is your Association too. Ask a committee member if you are unsure what to do, but remember that they have their own children they would like to see play too, so please be patient and courteous.
